Applying for a research project
To apply for SRDC funding for your research project you will need to submit an Expression of Interest (EOI) application to SRDC apply@srdc.gov.au by the due date.  After careful consideration and evaluation of all EOIs received, SRDC will invite a shortlist of applicants to present their full research project proposal to a review panel. Funding of 2010 projects closed on 14 August 2009, the next call for 2011 project funding will open on 1 June 2010.

Applying for a GGIP, CBP or Scholarship
For Grower Group Innovation, Capacity Building, or Scholarship projects, applicants should submit an application form by the date specified in the call.  An SRDC fact sheet, Writing a great project proposal provides advice on how to prepare your application. More information about these projects are available from the apply section of this website.

Project Reporting Requirements
An important element of SRDC’s project management system, SRDC requires all projects to submit reports at pre-agreed times. Reports required by SRDC at various times of a project’s duration are:

Application forms and reporting forms
From applying for funding, to submitting your final report, SRDC has specific requirements for the way information is supplied.  Expression of Interest and application forms and kits will only be available during a current call. Make sure you visit this site regularly to ensure you’re using the correct template.

Milestone Reporting Requirements
Milestones are used to assess the progress of projects.  Achievement Criteria are set when the project agreement is signed and may be subsequently varied by mutual agreement between SRDC and the Research Organisation(s).  Project payments are made only on the satisfactory achievement of milestones as documented by Milestone Reports.

A Milestone Report is required to be submitted to SRDC by email to reports@srdc.gov.au on or before the agreed due date.  If the milestone is not achieved, the report should indicate why, describe the impact on the project, and request a variation to the due date and/or the achievement criteria as required.  Please ensure your Milestone Report includes:

  • Sufficient detail to verify that the milestone achievement criteria have been met.
  • Copies of any papers, reports, newspaper/ magazine clippings, or audio files or transcripts of any radio or television interviews.
  • The size of emails sent to SRDC are reduced to 1.8Mb (megabytes) on emails sent to SRDC.  If your files are over 1.8 Mb then consider using WINZIP to compress the file or save your report onto a CD and send to SRDC by post. 
  • Ensure any multimedia presentations that you send on a CDROM can be opened by SRDC. 

Late or Non-submission of Milestone Reports
The SRDC Project Agreement provides that SRDC may terminate a project if SRDC believes that the Research Organisation is not conducting the Research Project in a competent and diligent manner.  SRDC may terminate a project under this provision if a milestone report is overdue.  If a project is terminated, the Chief Investigator may apply to the SRDC Board within one month for reinstatement.

 Final Reporting Requirements
A Final Report must be submitted to SRDC at the completion, or termination, of a project.  The report should be submitted on or before the due date.  SRDC uses the information contained in Final Reports to communicate the outcomes of research to industry, government and a host of other audiences. 

Copies of Final Reports may be distributed by SRDC to relevant libraries and/ or industry organisations, via the SRDC website, newsletters, publications and media releaseunless a statement of confidentiality requests otherwise.

Final Report pro-formas for Research Projects, Grower Group Innovation Projects and Cacpacity Building Projects are available below. Make sure the final report provides a synthesis of the project and addresses the sections contained in the relevant final report pro forma.

For Research Projects
Submit two bound copies of the final report along with a high quality, unlocked electronic  pdf format suitable for printing. The electronic copy may be either emailed to reports@srdc.gov.au or copied to CD and posted to SRDC.

For GGIPs and CBPs
Submit a high quality electronic copy of the final report to SRDC. This electronic copy may be emailed to reports@srdc.gov.au or copied to CD and posted to SRDC. Please note: It is not necessary to post an additional bound copy of the final report, however please do so if you wish.

For Scholarships
Submit a bound copy and/or a high quality, electronic copy of the thesis to SRDC. This electronic copy may be emailed to reports@srdc.gov.au or copied to CD and posted to SRDC. You should:

  • include copies of any papers, reports, newspaper or magazine clippings, or audio files or transcripts of any radio or television interviews in your final report
  • make sure any multimedia presentations you send on a CDROM can be opened by SRDC 
  • make sure the electronic copy of the final report, especially PDF format, is not ‘locked’
  • limit the size of attachments to 1.8Mb on emails sent to SRDC.

If your files are over 500kB then consider using WINZIP to compress the file.  If your milestone report includes attachments that will make your email larger than 1.8Mb, consider sending it in parts or sending it on a CDROM by post.  (If you are sending a milestone report by post, please email SRDC at reports@srdc.gov.au to confirm the dispatch of the parcel on or before the due date.)

 

Late Submission of Final Reports
The payment associated with the Final Report Milestone will be withdrawn if the report is not received by the due date, or, if an extension has been granted by the date granted in the extension. Requests for extension to the due date of a Final Report must be received by the due date, and may be for no longer than 12 months.

Final Reports of Capacity Builidng Projects are to be submitted within three months of the conclusion of the travel or learning activity.  New Capacity Building Projects will be not accepted from any people or group that has outstanding Final Reports overdue from previous projects.  

 

End of Financial Year Progress Report
To help highlight the outcomes of its investments in R&D into the Australian sugarcane industry, SRDC requests that all projects supply an End of Financial Year Progress Report, between 1 July and 30 June. This progress report forms an important component of the SRDC Annual Report and helps to maintain the accuracy of your report page on this website. 

In early May, SRDC will email you a reminder together with a pro-forma to facilitate the preparation of the progress report. This report should not exceed 200 words and should contain:

  • Project Number.  Other header details, including objectives, will be inserted by SRDC.
  • Progress to date in relation to the objectives, including outputs and outcomes achieved, and conclusions reached.  Major successes and difficulties encountered should also be reported.  A separate list of publications arising from the Project during the year should be attached.
  • Confidential Projects - the Research Organisation may request that a report not be published, and may submit a separate confidential report, clearly marked as such, of any information it reasonably considers should be kept confidential.
Financial Statements – End of Project
A financial statement must be provided to SRDC within one month of the termination date, containing details for the Term of the project of:
  • all receipts and income
  • all outgoings and expenditure
  • a stocktake of Project equipment purchased, including serial number, location, condition and maintenance records.

There is no pro-forma for financial statements.  SRDC will accept the financial report from your finance system  provided it shows for each year: monies from SRDC and summaries of expenditure in budget categories: Salary, Operating, Travel and Capital.  SRDC may request a financial statement for any individual financial year during the term of the project.

SRPN Request
Every project will receive a SRPN (Sugar Research Personal Number) that is your unique identifier and is required when completing a project proposal.  If you do not have an SRPN, you can complete an SRPN Request.  A confirmation email, which includes your SRPN, will be sent to you within three working days. 

Project Evaluation
The SRDC Evaluation Framework will assist in the development and implementation of an appropriate evaluation strategy for SRDC-funded projects. 

SRDC Logos
When reporting on SRDC funded projects, Investigators are strongly encouraged to include the SRDC logo. Guidelines for the use of the logo:

  • Do not tilt the Logo.
  • Do not enlarge or alter in proportion any part of the design.
  • Do not rearrange the design.
  • Do not reduce the design below the minimum size (Coat of Arms must be at least 20mm wide).
  • Do not use any part of the design as a graphic element.
  • Do pay attention to contrast – the Logo should not appear in a pastel or light colour on a light background colour or as a dark colour on a dark background.
  • Do consult the Design Guidelines or seek clarification from SRDC’s Communications Manager should you have any questions about the use of the SRDC Logo.

The SRDC Logo is available in a number of formats.  .jpg files have been supplied, for other formats (including .eps, .bmp, .tif and .gif) please contact SRDC’s Communications Manager.
